Reporting infrastructure for donor-funded delivery

The operating system for technical assistance.

Nova Operis turns field activity into audited, donor-ready reporting. Progress reports, training reports, capacity assessments, timesheets and invoices are compiled from the work your consultants already log, then signed off through one traceable chain.

The problem

Technical assistance is sold by the day. Reporting eats the days.

Donor-funded technical assistance is contracted in expert working days. Every day a senior expert spends compiling a progress report, a training report or a capacity assessment is a day removed from the work the contract was written for: policy dialogue with the ministry, institutional strengthening, delivery on the ground.

The formats are rigid, the inputs repeat every reporting period and the deadlines are contractual. So the burden lands on the most experienced, most expensive people on the team, and the client pays full rate for administration.

Illustrative. The measured split for your portfolio is what the Analytics module reports.

The platform

One workspace from field log to signed report.

Six modules, one record of the work. Nothing is re-keyed, nothing moves without sign-off, and every output carries its own history.

01

Activity log and AI compilation

Consultants log activities, evidence and attachments as they happen. The compiler drafts the report in the donor's format, marks which passages come from the template and which from the model, and never supplies a figure it was not given.

02

Sign-off chain and audit trail

Consultant to Team Leader to Accountant to Project Manager. Every approval, edit and rejection is timestamped and attributable, so the report that reaches the contracting authority has a verifiable history.

03

ToR governance and close-out

Contracted days against consumed days, extension requests with approvals, scope-drift trends across reporting periods, consultant and beneficiary evaluations, and a completion report that closes the contract cleanly.

04

Analytics and trends

Effort over time, activity mix, burn against ceiling and days reclaimed per activity, computed from approved logs and embedded directly into the report annex.

05

Timesheets, expenses and invoicing

Approved time flows into timesheets, expense claims and invoices in the formats donor finance teams expect, without a second data entry.

06

White-label and templates

Your logo, colours and letterhead on every output. Upload your own Word template and the platform fills it. Each organisation runs in its own isolated workspace.

The compile view. Every passage shows where it came from before anyone signs it.

How it works

From the field to the contracting authority, without re-typing a word.

1

Log the work

Activities, hours, evidence and attachments, captured from the field on a low-bandwidth connection.

2

Review and approve

Team leaders and accountants validate inside the platform. Nothing moves to the next stage without sign-off.

3

Compile

The engine drafts in your donor's template, with provenance on every passage and figures only from approved logs.

4

Deliver and close

Export to Word, PDF or your own template. Invoices and the completion report follow from the same record.

Security and trust

Built for procurement scrutiny, not just for demos.

Every statement below describes how the platform is built today, not a roadmap item.

EU data residency

Client workspaces live in a database hosted under European Union jurisdiction.

Tenant isolation

Each organisation's data is partitioned and pinned to its signed session. A client token cannot read another client's workspace.

Hardened credentials

Passcodes are salted and hashed, sessions are signed and expire, and usage is rate-limited per organisation.

Zero third-party scripts

Export libraries are served from our own domain. No analytics trackers, no advertising pixels, no tag managers.

Bring your own AI key

Run the model under your own enterprise agreement so your usage, budget and terms stay yours.

Metadata-only operations

Our operations console is limited to counts, health and faults. It does not expose report content, audit detail or attachments.

Services

Software is the start. Adoption is the service.

We stay in the room until the first real reporting cycle has gone through the platform and the days reclaimed have been measured.

S1

Implementation and onboarding

Tenant provisioning, brand configuration, seat management and template mapping, delivered with your operations team.

S2

Report template engineering

We translate your donor formats, progress, training, completion and financial, into fillable templates the compiler understands.

S3

Workflow and value-for-money design

We map how your consultants actually spend contracted days, redesign the reporting workflow and measure the days reclaimed.

S4

AI and data governance

Your enterprise AI key, EU residency, retention rules and documentation your procurement and security teams can sign.

S5

Training and support

Role-based onboarding for consultants, team leaders and finance, with a founder on the line throughout the pilot.

S6

Co-development

A roadmap partnership for firms that want their reporting requirements built into the product itself.

Company

Built by people who counted the days.

Nova Operis began in a master's classroom at IE University, where three of us, with roots in France, Canada, Mexico and Norway, were put on the same team for a research engagement with a global development consultancy. The brief was to find where the operating margin on donor-funded technical assistance was leaking.

We interviewed field consultants, read the contracts and the reports, and traced the work behind every progress report, training report and capacity assessment. The pattern was unambiguous: senior experts were spending contracted days on administration that followed the same structure every reporting period.

So we built the tool we wished they had, tested it against real reporting cycles, and the consultancy asked to license it. Nova Operis Systems Inc. was incorporated in Montréal in August 2026 to build that product properly, for every firm that delivers technical assistance by the day.

Evidence before automation

We automate a step only after we have measured what it costs by hand.

Privacy as architecture

Isolation and data boundaries are enforced in code, not promised in a policy.

Field first

Everything works from a district office on a weak connection, because that is where the work happens.
